Manage and Organize your Driver Fleets
With fleets you can now share drivers with your business's other merchant accounts.
Sharing Drivers: You can easily group multiple merchants into a fleet. This will allow your drivers to receive jobs from any merchant that is within the fleet.
Organizational Structure
This is the hierarchy structure and how the various levels interact with each other.
Organization: Overarching business of a multi-branch institution
Team: A way to group a set of merchants together
- Merchants can be in one Team
Merchant: Your business / one individual location
Fleet: A grouping of both drivers and merchants
- Merchants can be in multiple Fleets
- Drivers can only be part of one Fleet
Drivers: Your personnel fulfilling the deliveries
Creating Fleets
Default Fleet Creation: As a default, each merchant you create will automatically create a corresponding fleet named "Default {merchant name} Fleet"
Create Your Own Fleet: Within your Fleets dashboard, click "New Fleet," Enter a Name and push "Create"
Edit: change the name of your fleet by clicking the Pencil icon next
Transferring Drivers & Merchants to Fleets
Group driver's to one or multiple merchants within a Fleet. Previously a driver could only be associated with one merchant. Now you have the ability to group merchants together to allow drivers to fulfill orders from any merchant within their designed fleet!
Transferring Existing Drivers to a Fleet: A driver can only be associated with one fleet
- From the Fleet Dashboard, select a Fleet
- Using the navigation bar to select "Driver"
- Then click the "New"
- Now your Drivers within this Fleet will be able to receive jobs from any Merchant within this fleet
Adding Merchants to a Fleet: A merchant can be associated multiple fleets
- From the Fleet Dashboard, select a Fleet
- Using the navigation bar to select "Merchant"
- Then click the "Assign"
- Now your Drivers within this Fleet will be able to receive jobs from any Merchant within this fleet
Managing Drivers
On the Fleets Dashboard you can view a list of the drivers who you activated, awaiting approval, deactivated, and even those who are online. Additionally, you are able to manage their permissions, details and create driver match codes.
Add Driver: To assign or invite a driver to your fleet click "New"
- Assign New Driver: move drivers from one fleet into another fleet
- Invite Driver: enter the driver's email address to send them an invitation via email to register
- Add New Driver: manually add the driver's details to complete the registration on behalf of your driver
Managing Driver Status: Click on a specific Driver's tile from your Fleet Dashboard to bring you to their Driver Details page. Here you will have the ability to Approve, Revoke or Reactivate, depending on their current status
- Approve Drive: in Organization Settings, if you selected Manually Approve Drivers, you will need to navigate to your Fleets Dashboard and approve their status before they will be able to log online and begin delivering for you
- Revoke Driver: remove your drivers access to receive jobs from your account
- Reactive Driver: re-allow your drivers to receive jobs from your account
- Tip: use the filter button to search for the driver's you wish to see
Driver Match Code: Automatically assign drivers to a specific jobs. This is utilized when entering jobs through the API or Batch Uploader
- Click the + sign to add or edit
Fleets Settings
On the Fleets Dashboard your Settings will be where you can manage your driver declarations, set fleet capacity and choose your routing type.
Driver Declarations: a customizable checklist that drivers must agree to before they can go "online" at the beginning of each shift to start receiving tasks in the driver mobile app
- Create Driver Declarations for all of your fleets
- Within the Fleets Dashboard, navigate to "All Fleets" then Settings
- Add the declaration(s) you desire
- Enable: determine which declarations you want active by click the checkmark next to the corresponding item
- Locked: click the lock icon to force all fleets to complete this declaration
- Create Driver Declarations specific to a Fleet
- Within the Fleets Dashboard, navigate to Fleet you want to add declaration(s) to then click then Settings
- Type your message next to "Add New" then click the "+" sign
- The First Declaration: "I will drive carefully and treat customers with respect" is locked, set from the "All Fleets" driver declaration dashboard (an individual fleet cannot un-enable it)
- The Second Declaration: "I am wearing my NYC Fleet uniform" is enable just for this New York City Fleet
- The Third Declaration: "I will give out the MARCH MANIA coupon with each delivery" is not enabled at this time, so drivers will not see this upon going online
Bulk Capacity: update the maximum amount of tasks that ALL drivers within this fleet can accept at any one time
- In this example, drivers in this fleet can accept a maximum of 3 jobs at any one time
Job Routing Rule: After assigning jobs to a driver, automatically optimize their delivery route. This will save you a lot of time planning out daily routes, as well as the driving time, fuel, distance travelled by each vehicle.
- None: the jobs will be sequenced in the order of notification
- Simple: the jobs will be sequenced based on the shortest distance between all of the delivery drops
- Delivery Time: the jobs will be sequenced based on the delivery time window between all of the delivery drops
Force Accept Jobs:
- Do you want your drivers to be able to accept and reject jobs?
- Then leave this setting unchecked
- Or would you rather have tasks be automatically assigned to them?
- If so check off this setting:
- Drivers will then only have three tabs instead of four in on their driver app as jobs will go directly into their "New Order" queue for delivery.
- Why would I enable this?
- Do you have employee driver that have assigned routes? Save the step of drivers having to accept jobs by enabling this feature.
User Roles & Privileges
Manager: Has full access to the platform and has complete control over organization including permission to maintain users, teams and merchants.
- Managers can access the Fleets Dashboard from the Operations dropdown
- Fleet View for Managers: they will be able to see and access all of the Teams, Merchants, Fleets and Drivers
Merchant Manager ("User"): Can manage specific merchants or teams. You can add and assign these managers to teams from the team management section.
- Fleet View for Merchant Managers: they will only be able to see and access the Merchant(s) / Team(s) and corresponding Fleet(s) that their Merchant(s) is associated with
Analyst: Has read only access to view reporting data for entire organization.
Deleting a Fleet
Delete: Fleets can only be deleted if there are not any Drivers or Merchants associated with the Fleet. A merchant needs to be associated with at least 1 fleet before deletion.
- Select the merchant, then click the car icon to move the merchant to another fleet
- Select the merchant, then click the car icon to move the merchant to another fleet
- Choose the desire Fleet you wish to transfer the merchant to & click Assign
- Select the merchant then click the trash can to remove the merchant from the fleet you wish to delete
- Now that all Drivers and Merchants have been reassigned, click the trash can (next to the edit pencil) to delete the fleet
Boundary Area
Click on "Boundary Areas" (1.)
Select the fleet (2.)
Click on "+Create" (3.)
Click on square in upper left corner and draw your boundary area (1)
Choose days you want to be valid (2.)
Type the name (3.)
Click on "save" (4.)
Your Boundary Area is created for selected fleet.
